Reviewing adverts and applications

In this guide, you will learn how to review your job adverts’ performance and see the applications and candidates, using our Applicant Tracking System (ATS) in the Tes Portal (Connect).

Once your adverts (vacancies) have been posted, you may want to look at statistics like how many people are viewing them and how many applications you have received so far. The Schrole Connect dashboard provides tools for both multi-school overview (if you manage multiple school campuses) and single-school details.

Multi-school overview (for group administrators):Ěý
If you manage vacancies for more than one school (for example, a group of schools or a school with multiple campuses), you can view an aggregate summary:

  • At the top navigation bar of the Connect page, click on Switch school, then choose an option like School chooser or the “All schools” view.Ěý

  • This overview will show key metrics for each school side by side. You’ll typically see the total number of live vacancies and the total applications for each school in a summary format​. This helps you compare activity across schools at a glance. For instance, School A might have 5 live jobs and 20 applications, School B has 3 jobs and 10 applications, etc.Ěý

  • You might also have a Jobs tab or summary page that tallies all views, clicks, and applications across your schools. In the Connect interface, a “Jobs” or “Vacancies” analytics page can allow you to compare engagement metrics (like number of views and applies) between different schools in your group​. This is useful for benchmarking which schools or locations are attracting more interest.

Single-school view (individual school details):
If you want to dive into the adverts for one specific school:

  • Make sure you have that school selected (use Switch school to pick the single school, if you were in a group view).Ěý

  • In the Current vacancies (Current jobs) list for that school, you’ll see all the adverts that are live. You might have options to filter or sort them. For example, you can filter to Show only jobs with applications – this will highlight which vacancies already have candidates who applied, and how many applications each has​.Ěý

  • Next to each vacancy, you will typically see summary stats like number of views and number of applications so far. This helps identify which jobs are getting interest.Ěý

  • To get more detail on a particular job advert, click on that vacancy. In the updated interface, clicking the job row will open the detailed view for that vacancy (including its applicants and performance data). In some cases, there may be a drop-down arrow or “More” button on the right side – but in the Schrole Connect system, it’s often as simple as clicking the job title.Ěý

  • Once you open the vacancy details, you’ll have several actions available (often arranged in tabs or a menu). You can typically: view applications, view advert statistics, preview the advert as candidates see it, edit the advert, or close/expire (cancel) the job listing if needed.

From your school dashboard page, you can also check the data on your number of active vacancies, number of recent applications, number of applicants who are waiting and your average applicant processing time.

There is also information on time to hire and external applicant views if you are diverting applicants away from Tes.

By clicking on a specific vacancy and then selecting its stats or details, you can find out:

  • Views – how many times your application has been viewed.

  • Applications Received: how many applications you have received.

  • Application conversion rate: the percentage of applicants who viewed that applied.

You can also see how many candidates are in each stage of the application pathway.

Monitoring these stats while your advert is live can help you take action: for example, if a job has a lot of views but few applications, you might consider editing the advert to make it more appealing or using an Advert add-on like Targeted Advertising to boost its visibility.

When you are done reviewing advert performance or if you want to go back to the list of jobs, simply navigate back to the Current vacancies list or use the back button in the interface.
