How to post a job vacancy
This guide will show you how to post your jobs on Tes (now referred to as creating a vacancy in the system) so you can start attracting candidates.
The new Schrole-integrated interface uses the term “vacancy” for job adverts.
Starting a new vacancy on Tes:
- Navigate to the recruitment hub: On your Tes Portal homepage, click any of the four options on your Recruitment ATS section. You will then need to log onto the new ATS. Press "Sign in with Tes Universal account" to verify your account. This is a necessary step to maintain security.

- Recruitment dashboard: In the Connect page, you will see a navigation or dashboard that includes sections for your job adverts and applications. The exact layout might vary, but you should find options or tabs for:
- Create a vacancy (or Post a new job) – to start a brand new advert from scratch.Ěý
- Current vacancies – a list of all your job adverts that are live on Tes (currently published).Ěý
- Expired vacancies – your job adverts that have passed their closing date or have been taken down.Ěý
- Drafts – any advert you started but haven’t published yet (saved drafts).Ěý
- Applications – a section to view all applications your school has received in the last 24 months (this is an aggregate list of applicants across all jobs).

Begin posting: To post a new job, click on Create a vacancy. This will open the job posting form where you input the details of the role.
Filling out the job advert form: The vacancy creation form will guide you through all the necessary information for your job posting. Work through the form and fill in all relevant fields. Key parts of the form include:

Job Details: Enter the job title, location, contract type (e.g., full-time, part-time), salary (if applicable), and other basics. Select the appropriate job category, subject, and level from the drop-down menus.
(Tip: These categories help candidates find your job, so choose them carefully. Note that the categories are standardised across regions – the new system is not region-specific in its categories.)Ěý -
Job Description: Provide a detailed description of the role and the person you are looking for. Include information about responsibilities, required qualifications, experience, and anything special about the position. The editor allows basic formatting like headings, bullet points, and bold text to make it reader friendly. (There are some formatting limits — for example, embedding images in the description is not supported. You can upload images or PDFs to your career site for candidates to download if needed.) We recommend also adding a brief pitch about your school here to entice candidates, even if it’s also on your career site.

(Please note, we recommend you edit your AI-generated job description to guarantee it is unique to your school and represents your school’s values.) -
School Overview: Some forms may prompt you to add a short paragraph about your school (or it may pull from your career site automatically). Ensure this is appealing – it’s the snippet candidates see about your school.

Application Details / Application Method: This is important and slightly changed in the new system. Scroll down to find the Application method section (it might be lower on the form than you expect). Here you choose how candidates should apply for your vacancy. You have a few options:
1. Schrole Connect (Recommended) – Using the Tes built-in application form, candidates can apply directly on Tes (Quick Apply) by submitting their application through our platform. (Note: The “Quick Apply” label is no longer explicitly shown to candidates, but the process for them is still quick and easy.) If you choose this, all applications will go into your ATS, and you can manage them end-to-end on the platform. We strongly recommend this option, as schools that allow direct Tes applications tend to receive up to four times more applications​. It also enables additional features like the ability to request references through the system.Ěý
2. School’s own application form – If you have your own application form that you want candidates to fill outĚý(for example, a PDF or Word document specific to your school), you can upload your form for candidates. Candidates who apply will download your form from the Tes job advert, fill it in offline, and then upload it to submit their application. These applications will still come through to your ATS for you to review, but keep in mind the extra step may deter some candidates. (Ensure the form is attached and clearly mentioned in the job description if you choose this.)Ěý
3. External application (Divert to school website) – You want to direct applicants to an external site (for example, your school’s own recruitment page or an external ATS). If you choose to divert applicants externally, a field will appear for the Application URL. Make sure to paste the correct link where candidates should apply. This option will cause the “Apply” button on the Tes advert to send candidates to that URL (opening in a new tab). Candidates will see a notice that they are leaving Tes to apply. Note: If you use this method, applications will not be tracked in the Tes ATS – you’ll have to manage them on the external site. You will still see the number of clicks on the Apply button for your vacancy, but not the full applicant details in Tes​ Staff Management.

Application Deadline and Publication Settings: Set the closing date for applications (after this date the job will expire and not accept new candidates). You can also schedule the publish date or choose to publish immediately. Double-check the dates so your advert goes live and expires as intended.Ěý

Attachments: If using the Tes online form, you don’t need to attach anything (aside from what’s already on your career site). If using your own application form, you should attach it here so candidates can download it. You might also attach other documents like job descriptions or person specifications (though many schools simply include that detail in the description field or on the career site).
Finalising and posting the job:Ěý
Once you have filled in all the details of the vacancy and are satisfied with the preview, you have a few options at the bottom of the form:

Choose your application pathwayĚý– you can choose between having an 8-step or 6-step process. If you opt for the 8-step process, you will be able to send out pre-employment comms to your chosen candidate between them accepting the job offer and them starting.ĚýĚý

Create/Submit (Publish) – This will post the job live on Tes.com (and make it visible on your school career site as well). Click Create this Vacancy. Clicking this will finalise the advert. You should see a confirmation that your vacancy has been created.Ěý

Save as draft – If you’re not ready to publish, you can save your progress. You can find the draft later under the Drafts section in the Connect dashboard and finish editing when ready.Ěý

Preview – You can always preview again if needed to double-check how the advert looks to applicants. Preview your job vacancies through your Connect dashboard.

Cancel – If you need to discard the advert creation, you can cancel (though if you’ve entered a lot of info you may prefer to save as draft instead of losing the data).
After publishing, your vacancy will appear in the Current vacancies list. It will also show up in Tes job search results typically within a few minutes. If you have linked your career site or embedded jobs on your website, it will show there immediately as well.Ěý
Tip: Once the job is live, share the link to your advert on social media or relevant networks to maximise its visibility. Also, keep an eye on the advert’s performance (views and applications) – see the guide on Reviewing advert performance for how to monitor this.Ěý
